When and where is the Underserved Grantee Orientation happening?

The Underserved Grantee Orientation is taking place in-person on Tuesday, December 10 (9 am – 5 pm), Wednesday, December 11 (9 am – 5 pm), and Thursday, December 12 (9 am – 1 pm) at the Baltimore Renaissance Harborplace Hotel in Baltimore, Maryland.

Is there a registration fee or cost to attend?

No! There is no registration fee to attend the Underserved Grantee Orientation. However, since this event will be held in person, there are travel costs associated with attending. Travel costs are the responsibility of each grantee organization, which should be covered by your Underserved Grant funds.

Can I book my flight and my hotel room?

Yes! You should make your travel arrangements if you’ve not done so yet including booking flights and hotel rooms. More details are available in the travel guide above.

If my budget has not been approved, can I still attend?

Yes! A special condition of your grant is that your organization is required to attend the Underserved Grantee Orientation. A sum of $10,000 is pre-approved for you to spend on travel to required in-person events, including the orientation.

What is the nightly room rate for the hotel and which nights will the rate be available?

We have a room block at the the Baltimore Rennaisance Harborplace Hotel. The negotiated nightly room rate in the room block is $137 + all state & local taxes. This rate will be available December 9-12. Each participant is responsible for booking their own stay. A credit card will be required at the time of booking to reserve the room, as well as when you check into the hotel. More details are available in the travel guide above.

Will you have language interpretation available?

Yes! We will have interpretation into American Sign Language (ASL). Interpretation will only be arranged for those requested during the registration process. If interpretation into another language would be helpful to you and you did not request it already, please contact the UTAP team at underservedtaproject@also-chicago.org as soon as possible.

Can I request other accommodations?

Yes! We make an effort to ensure our events are as accessible as possible for all attendees. You can make accommodation requests through the registration process.

Will you ask everyone to use microphones when speaking?

Yes! Microphones amplify your speech for everyone in the room. Mics are not only there for the “people in the back.” Ensuring that all comments and questions are made one at a time in an amplified volume ensures that everyone is able to clearly understand the important information that is being shared. This is also very helpful for accurate interpretation and CART services. If people can hear clearly, they are more likely to listen and be engaged.

Will food be provided at this meeting?

No! There will be no food or beverage provided, per government regulations. We have allocated multiple breaks and a 90 minute lunch each day for attendees to grab meals, coffee/tea, and snacks. Payment is each attendee’s responsibility. A list of nearby restaurants is available in the travel guide above.

Will I need to sign in each day of the Orientation?

Yes! We will have a sign-in sheet for all three days. All attendees will need to sign in to confirm their attendance each day. Please stop by the registration table on your way in to sign in.
